Xero Payroll

Overview

To access your Xero payroll data, we'll need you to invite us as a payroll admin on your Xero account with reporting permissions. This gives us access to the payroll reports we need for your bookkeeping. Setup takes about 5 minutes.

What You'll Need

Access to your Xero account with permissions to manage users (typically the organization owner or a standard user with user management rights)

Setup Instructions

  1. Log into your Xero account.
  2. Click your organization name, then select Settings.
  3. Under General, click Users.
  4. Click Invite a User.
  5. Enter the following information:
    • First Name: Bench
    • Last Name: Accounting
    • Email: thirdpartylogins+your.business.name@bench.co
  6. Select Payroll Admin.
  7. When configuring roles and permissions, select any options related to Reports and Documents. If you're unsure which to choose, let your bookkeeper know what options are listed and they'll confirm the right selections.
  8. Click Send Invite.

Please message your bookkeeper to let them know this has been completed, as the email invite link is not a monitored email.

What To Expect After Setup

Our team will receive the invitation and accept it — typically within one business day. You'll see Bench Accounting listed under your users once we've finalized access.

Troubleshooting

  • I don't see "Users" under Settings.
    You may not have permission to manage users. Check with whoever originally set up your Xero account.
  • I'm not sure which roles and permissions to select.
    At minimum, we need Payroll Admin along with any permissions related to reports and documents. If you're unsure, send your bookkeeper a screenshot of the available options through the Bench app message feed and they'll walk you through it.
  • I'm not sure what to use for the email address.
    Replace your.business.name with your actual business name, no spaces. For example, if your business is Maple Goods, the email would be thirdpartylogins+maple.goods@bench.co. Your bookkeeper can confirm the exact format.
  • The invitation hasn't been accepted yet.
    Allow up to one business day. If it's been longer, let your bookkeeper know so we can check on it.
