Wave Accounting

Overview

To access your Wave accounting and payroll data, we'll need you to invite us as a viewer on your Wave account with payroll access enabled. This gives us view-only access to your financial data and payroll reports for bookkeeping. Setup takes about 5 minutes.

What You'll Need

  • Access to your Wave Accounting account with permissions to manage users

Setup Instructions

  1. Log into your Wave Accounting account.
  2. At the top right, click your business name, then Business settings
  3. Under User Management, select Users.
  4. From the list of access options, select Viewer.
  5. In the top right corner, click the blue Invite User button.
  6. Enter the following information:
    • First Name: Bench
    • Last Name: Accounting
    • Email Address: thirdpartylogins+your.business.name@bench.co
    • Position: Bookkeeper
  7. Next to Manage Payroll, toggle it to On.
  8. Click Invite User.

What To Expect After Setup

Our team will receive the invitation and accept it — typically within one business day. You'll see Bench Accounting listed under your users once we've finalized access. As a viewer, we'll be able to see your financial data and payroll reports but won't be able to make changes.

Troubleshooting

  • I don't see "Users" under User Management. You may not have admin or owner-level access. Check with whoever originally set up your Wave account.
  • I don't see the "Viewer" option in the access list. Your Wave plan may not support multiple user roles. Check with Wave support or let your bookkeeper know.
  • I forgot to toggle on "Manage Payroll." Go back to Settings → Users, find the Bench Accounting user, and toggle Manage Payroll to On.
  • I'm not sure what to use for the email address. Replace your.business.name with your actual business name, no spaces. For example, if your business is Maple Goods, the email would be thirdpartylogins+maple.goods@bench.co. Your bookkeeper can confirm the exact format.
