Toast Payroll

Overview

To access your Toast Payroll reporting, we will need to complete a setup adding us a Demo Employee. This will allow us to view your reports without being treated as payroll employees. The full process takes about 10 minutes.

What You'll Need

  • Access to your Toast account with admin permissions to manage employees and jobs
  • The ability to publish changes to your Toast configuration

Setup Instructions

1. Log into your Toast Payroll account

2. Navigate to ‘Management’ and select ‘New Hire’

3. Select ‘Add+’ in the top right corner and enter the following information:

               For ‘FEIN, Position, Work Tax Location, Template, and Hire Date,’ simply use the first available options (these will not affect the user)

               First Name: Bench

               Last Name: Accounting

4. Click 'Hire' in the bottom right corner

5. A page will load outlining the New Hire steps. Under the ‘Demographics’ heading, select ‘Next’ in the bottom right corner

6. Under the ‘Login’ heading, please enter the following email address:

               Email Address: thirdpartylogins+your.business.name@bench.co

7. Click ‘Next’

8. Navigate back to the New Hire Dashboard by going to ‘Management’ and selecting ‘New Hire’

9. Bench Accounting should be at the top of the list. Click the yellow pencil icon

10. In the ‘Edit’ pop-up, select ‘Mark new hire as complete’ from the dropdown menu and choose 'Confirm'

11. We will no longer be on the New Hires Dashboard. In the top right ‘Search Employee’ field, please enter ‘Bench’

12. Click on our profile and select ‘Profile Settings’ in the bottom right.

13. Under ‘Employment status' select ‘Demo Employee’ (this ensures we will not be counted among active employees who Toast Payroll invoices for)

14. Select ‘Save Changes’ in the bottom right

15. Near the top, select ‘Jobs & Pay’

16. Select ‘Edit’ in the top right corner. This will bring up the ‘Positions’ page

17. For ‘Reason,’ select ‘Administrative Update’

18. For ‘Security Role,’ select ‘Payroll’

19. The choices made for ‘Job, Salary Type, and Default Earning Type’ are unimportant (similar to step 3, these will not affect the user)

20. At the bottom of the page, select ‘Submit’

21. Navigate back to the ‘Profile’ tab and select ‘User Account’ on the left hand side

22. For ‘Employee Invite,’  click ‘Resend’ to send us an invitation

What To Expect After Setup

Once you've added the employee and published your changes, our team will receive an invitation and finalize access — typically within one business day. You'll see Bench Accounting listed under your employees once setup is complete.

Troubleshooting

  • I'm not sure what to use for the email address.
    Replace your.business.name with your actual business name, no spaces. For example, if your business is Maple Goods, the email would be thirdpartylogins+maple.goods@bench.co. Your bookkeeper can confirm the exact format.
