Overview

Square's merchant data and payroll reporting can both be connected to Bench through direct integrations — your bookkeeper can help set those up if they aren't in place already. However, if those connections ever break or you'd prefer a manual backup, you can add us as a team member on your Square Dashboard. This gives us direct access to your merchant account and payroll data as a fallback.

Please note that neither method grants access to Square checking or savings accounts. If you have a Square bank account and need us to reference those records, you'll need to either connect those to Bench or download and share the statements with us.

What You'll Need

  • Access to your Square Dashboard with owner-level permissions to create team members
  • Access to your Bench app message feed (you'll need to send us a passcode)
  • Setup Instructions

    1. Log in to your Square Dashboard

    2. Navigate from the ’Staff’ tab to ’Team’

    3. Click ‘Create Team Member’

    4. Enter the following information:

    First Name: Bench

    Last Name: Accounting

    Email: thirdpartylogins+business.name@bench.co

    Phone: 6504660173

    Job Title: Bookkeeper

    5. Generate a passcode and send it to us through the Bench app message feed

    6. Send the invitation email to the email address from Step 4

    7. Under ’Permissions,’ select ’Enable Permissions’

    8. Select ’Team Permissions’ and enable ’Full Access’

    9. Select ’Save’

    What To Expect After Setup

    Our team will accept the invitation and finalize access once we've received the passcode through your Bench app message feed — typically within one business day.

    Troubleshooting

  • I'm not sure what to use for the email address.
    Replace your.business.name with your actual business name, no spaces. For example, if your business is Maple Goods, the email would be thirdpartylogins+maple.goods@bench.co. Your bookkeeper can confirm the exact format.
  • I don't see the "Staff" or "Team" options in my Dashboard.
    You may not have owner-level permissions. Check with whoever originally set up your Square account.
  • Where do I send the passcode?
    Through your Bench app message feed only — not by email. Log into the Bench app and send it as a message to your bookkeeper.
  • I have a Square checking or savings account.
    These aren't accessible through this setup. Please provide us with statements monthly or ask your bookkeeper about connecting via Plaid for ongoing access.
