Overview

Setting up a third-party login for KeyBank gives your Bench bookkeeping team view-only access to your KeyBank Portal. This allows your bookkeeper to download statements and transaction details on your behalf so you don't have to manually pull and upload them each month.

What You'll Need

1. Access to your KeyBank login with admin or owner permissions

2. The email address provided by your bookkeeper (formatted as thirdpartylogins+business.name@bench.co)

Note: Your bookkeeper will confirm the exact email address to use for your account before you begin.

Setup Instructions

  1. Log into your KeyBank Business Online or KeyNavigator account.
  2. Navigate to Administration, Company Administration, or Self Service (the exact menu name may vary by account type).
  3. Open the Users or Company Users section and select Add User.
  4. Enter the following information for your bookkeeping access user:
  1. When assigning permissions, grant:
  • View-only access
  • Access to accounts, transactions, and statements
  • Reporting access (if available)
  1. Do not enable:
  • Payment initiation
  • Wire access
  • ACH origination
  • Administrative privileges
  • User management permissions
  1. Save the user and complete any required verification or approval workflow.
  2. Message your bookkeeper to let them know this has been completed as the email invite link is not a monitored email.

What To Expect After Setup

  1. Once the new user is created, KeyBank may send a temporary password or activation instructions to the contact information entered during setup.
  2. Your KeyBank account administrator may also receive additional prompts to approve or activate the new user before access becomes available.
  3. Temporary passwords or activation links may expire after a short period of time, so setup should be completed promptly once received.

Troubleshooting

  • Activation link or temporary password expired?
    A KeyBank administrator may need to reset the user password or resend the activation instructions.
  • Unable to add a new user?
    Only users with administrator permissions can create or manage additional users in KeyBank Business Online or KeyNavigator.
  • New user cannot see accounts or statements?
    The account administrator may need to update the user’s permissions to include account access, transactions, and statements.
  • User can see too much access (payments, wires, ACH, admin tools)?
    Review the assigned permissions and ensure the user is set up with view-only/reporting-only access.
  • Access still not working after setup?
    Some KeyBank setups require an additional internal approval before the user becomes active. Allow time for pending approvals to complete.
  • Locked out after multiple login attempts?
    The account administrator or KeyBank support may need to reset the login credentials or unlock the user profile.
  • Multi-factor authentication issues?
    Verify that the phone number and email address entered for the user are correct and accessible during setup.
